How to Prepare Print Files Without Costly Delays

A poster can look perfect on screen and still arrive with a white edge, a soft logo or text trimmed too close to the border. Most print problems begin before production, in the artwork file itself. Knowing how to prepare print files properly gives your job the best chance of running smoothly, looking sharp and meeting a tight deadline without avoidable back-and-forth.

This guide covers the checks that matter for posters, flyers, stickers, exhibition graphics, signs, wedding table plans and other commercial print. The exact specification can vary by product, especially for large-format work, but the principles are the same.

Start with the finished size, not the artwork size

Set your document to the final trim size before you begin designing. If you are ordering an A3 poster, build an A3 document. If a sign needs to be 1200 x 800 mm, use those dimensions rather than relying on a scaled-up version of a smaller layout.

For larger items such as banners, window graphics and display boards, working at full size is usually best where your computer can handle it. For very large graphics, artwork may be supplied at scale, such as 1:10, but only when this has been agreed and every element, including bleed, is scaled consistently. A file created at the wrong size can slow production down or affect image quality when enlarged.

Check whether the dimensions supplied refer to the finished visible area, the cut size or the overall panel size. A roller banner, for example, has material that sits inside the cassette, while a wrapped sign panel may need additional artwork around the edge. Product specifications are there for a reason - follow them rather than guessing.

Add bleed and keep important content safe

Bleed is extra artwork extending beyond the final cut line. It allows for slight movement during trimming, so colour, images and backgrounds run cleanly to the edge. Without it, even an accurate cut can leave a thin unprinted line around the finished piece.

For most small-format printed items, a 3 mm bleed on every edge is standard. A4 artwork therefore becomes 216 x 303 mm once bleed is included. Larger-format products can need more, particularly where graphics are wrapped, fitted into a frame or finished with hems, eyelets or folds. Always use the product requirement where one is provided.

Just as important is the safe area. Keep logos, contact details, headings, QR codes and other critical information comfortably inside the trim line. A sensible minimum is usually 3 to 5 mm for standard print, though more breathing room often improves the design anyway. For banners and signs, allow extra space around eyelets, pole pockets, folds and panel edges.

Do not use a border close to the edge unless you are happy for it to vary slightly. Trimming is precise, but it is not a reason to design a hairline frame that will make a fraction of a millimetre noticeable.

Use high-resolution images where they will be seen

A low-resolution image cannot be repaired simply by increasing its DPI number in a design programme. The original image needs enough pixels for the size at which it will be printed.

As a reliable guide, use images at 300 dpi at final size for brochures, posters, labels and photographs viewed at close range. An image intended to print at 150 x 100 mm should be roughly 1770 x 1180 pixels at 300 dpi. If it is only 500 pixels wide, it may look acceptable on a phone but will not hold up in print.

Viewing distance changes the requirement. A shop window graphic or building sign seen from several metres away can often use a lower effective resolution than a fine-art photo print held in the hand. Large-format printing is about the right resolution for the finished size and viewing distance, not chasing an unnecessarily huge file.

Avoid screenshots, social-media downloads and images pulled from websites for prominent print use. They are commonly compressed and may also have licensing restrictions. If a logo is available as a vector PDF, AI, EPS or SVG, use that rather than a small JPEG. Vector artwork stays crisp at almost any scale.

Set colour correctly, then manage expectations

Commercial print generally uses CMYK inks, while screens display colour in RGB light. That difference matters. Bright RGB blues, greens and fluorescent-looking shades can fall outside the CMYK print range, so they may appear less vivid on paper, vinyl or board.

Where possible, build your artwork in CMYK from the start and use a suitable print colour profile if your software supports it. This makes your screen preview more realistic, although every monitor is different. A professionally calibrated display offers a better guide than a laptop screen at maximum brightness.

There are exceptions. Some signage workflows accept RGB files because specialist RIP software manages the conversion well, and some brand jobs use Pantone or specified spot colours. If exact brand matching is critical, say so before production. The material also affects the outcome: uncoated paper absorbs ink differently to silk stock, while a white vinyl, clear vinyl or brushed-metal panel will each change how a colour is perceived.

For rich black backgrounds, do not assume that a single 100% black value will give the same result across every product. Small black text should normally remain 100% K to avoid registration issues, while large solid black areas may benefit from a rich-black build appropriate to the print process. Ask for guidance if the job includes large black coverage, fine reversed text or a colour that must align with existing branding.

Check fonts, lines and transparency before exporting

Fonts are a common source of surprises. If a printer does not have the exact font used in an editable file, the software can substitute it and alter the layout. Exporting a proper PDF usually embeds fonts, but it is still worth checking the PDF itself before sending it.

For logos, line art and type, vector elements are preferable. Keep rules and fine lines practical for the material and print method. A very thin pale line that looks elegant on a bright screen may disappear on textured paper or at distance on a sign.

Transparency effects, drop shadows, overprint settings and blend modes can also behave differently when processed for print. A high-quality PDF export normally handles these well, but inspect the exported file at 100% zoom. Look for missing elements, unexpected boxes around transparent graphics, altered text and image edges that do not look right.

Export a press-ready PDF

PDF is usually the safest format for finished print artwork because it preserves layout, fonts and vector detail. Export using a recognised print setting such as PDF/X where available, include bleed, and make sure crop marks are only added if requested. Crop marks are useful in some workflows but are not a substitute for bleed.

Before uploading or emailing a file, run through this final check:

  • The document matches the requested finished dimensions.
  • Bleed is present where the product needs it, and key content sits inside the safe area.
  • Images are sharp enough at their printed size.
  • Fonts are embedded or outlined where appropriate, with spelling and contact details checked carefully.
  • Colours, especially brand colours and large black areas, have been considered for the chosen stock or material.
  • The PDF opens correctly and shows the complete design, including every page of a multi-page document.
If your artwork includes a QR code, test it from the exported PDF and ideally from a printed proof at the intended size. A code that is too small, too low in contrast or placed over a busy image may fail when it matters most.

Treat proofs as a production check, not an afterthought

A proof is the point to confirm the content, size, page order and layout are correct. It is particularly worthwhile for wedding stationery, menu runs, event graphics, labels with variable information and any job where a mistake would be expensive to repeat.

Check names, dates, telephone numbers, web addresses, pricing and quantities with fresh eyes. If several people have approved a design, nominate one final decision-maker so amendments do not continue after the job has entered production. Fast turnaround works best when the approved file is genuinely final.
