What File Type for Printing Gives Best Results?

A poster can look perfect on a laptop and still print with fuzzy text, dull photographs or an unexpected white box around a logo. When customers ask what file type for printing they should send, the honest answer is usually PDF - but the right choice depends on what is in the artwork and how it will be printed.

For most commercial print, a properly prepared PDF gives the printer the clearest, most dependable starting point. It keeps the layout in place, can contain high-resolution images and vectors together, and is far less likely to change when opened on another computer. That matters when a deadline is close and the finished job needs to look right first time.

What file type for printing is best?

A print-ready PDF is the best all-round file type for posters, flyers, exhibition graphics, menus, signage, stickers, wedding table plans and most business print. It is the industry standard for good reason: it packages the page design into a stable file that can be checked and sent to production without the usual font, layout and compatibility surprises.

Export the PDF from the original design software rather than printing to PDF from a browser or screenshotting the design. Where the software offers a preset, choose a high-quality print or PDF/X setting. PDF/X-1a and PDF/X-4 are both commonly used professional standards. PDF/X-1a is a safe option for conventional print workflows, while PDF/X-4 can retain transparency and colour information more flexibly.

The file type is only one part of the job. A PDF containing low-resolution images will still print poorly. Equally, a huge file with high-resolution photographs can fail if the page size, bleed or colour set-up is wrong. Good artwork is a combination of the right format and the right preparation.

Why PDF is the dependable choice

PDF works well because it can hold several different kinds of content in one file. Your logo and text may be vector artwork, while product photographs are made from pixels. A properly exported PDF keeps both elements in the right place at the right size.

It also protects the design from font substitutions. If a printer does not have the typeface used in an editable file, the text can reflow or be replaced with another font. A PDF generally embeds the font or converts it safely as part of export. This is particularly valuable for table plans, price lists and event material, where one altered line can affect the whole layout.

For large-format work such as roller banners, Foamex boards, Dibond signs, window graphics and wall displays, PDF remains the preferred file in most cases. The artwork can be supplied at the finished size or at a sensible scale, provided that scale is clearly stated and image resolution remains appropriate.

Set the page size and bleed correctly

Your PDF should be the finished trim size plus bleed where the product requires it. Bleed is the extra image area that extends beyond the cut edge. It allows for tiny movement during trimming, so a background colour or photograph reaches the edge cleanly rather than leaving a fine white line.

For many small-format products, 3 mm bleed on every edge is standard. Large-format graphics may use a different allowance depending on the material, finishing and installation method. Keep important text, logos and faces away from the edge too. Bleed protects the background; a safe area protects the important content.

Crop marks are not always necessary. If they are included, make sure they sit outside the bleed area. A clean PDF at the correct size is normally more useful than a file crowded with marks and notes.

When TIFF or JPEG is the right file type for printing

TIFF and JPEG are image formats. They are suitable when the job is a single photographic image, a piece of scanned artwork or a flattened design with no text that needs editing. They are not usually the best choice for a multi-page brochure, a flyer with fine type, or artwork made in a layout programme.

TIFF is a strong option for high-quality photographs and giclée printing. It supports high resolution and can be saved without the compression artefacts that sometimes show up in JPEGs. The trade-off is file size. A large TIFF can be slow to upload and process, especially for high-resolution artwork.

JPEG is practical and widely supported. A high-quality JPEG can produce excellent photographic prints, posters and display graphics, provided it has enough pixels at the final print size. However, each time a JPEG is heavily edited and re-saved, its compression can reduce quality. Fine detail, gradients and sharp edges may begin to show blockiness or halos.

Avoid supplying a JPEG that has been copied from social media, a website or a messaging app. These services often shrink images dramatically. An image may look acceptable on a phone but have nowhere near enough resolution for an A3 poster, let alone a large display panel.

Resolution: the figure that catches people out

For close-viewed print such as flyers, leaflets, photo prints and indoor posters, aim for 300 pixels per inch at final size. This is often written as 300 ppi or 300 dpi, though ppi is the more accurate term for image files.

Large-format print is different. A banner viewed from several metres away does not always need 300 ppi at full size. Around 100 to 150 ppi can often be suitable, depending on the product, viewing distance and image detail. Do not assume lower resolution is always fine, though. A reception wall graphic or exhibition panel may be viewed up close, so it deserves more care.

Increasing the resolution number in software cannot create detail that was not in the original photograph. It only spreads the existing pixels differently. Start with the largest, best-quality original file available.

PNG, SVG and EPS: where they fit

PNG is useful for web graphics and for images that need a transparent background. It can work for print if the file is high resolution, but it is rarely the first choice for full print layouts. PNG files are commonly supplied for logos, yet they may be too small for a sign or banner even if they look crisp online.

SVG and EPS are vector formats. Rather than using a fixed grid of pixels, vector files describe shapes, lines and text mathematically. That means a vector logo can be scaled from a small label to a large sign without becoming pixelated. For logos, icons, cut vinyl shapes and line-based illustrations, vector artwork is ideal.

EPS is still encountered regularly, particularly with established brand files, but PDF is now often easier to handle and preview. SVG can be excellent for vector logos, although not every print workflow treats it in exactly the same way. If you have an original AI, EPS or SVG logo, exporting it as a print-ready PDF is often the simplest route.

Colour matters as much as the format

Screens make colour with light using RGB. Commercial print generally uses inks, commonly CMYK. A bright electric blue on screen may not reproduce in exactly the same way on paper, vinyl or board. That is not necessarily a file problem - it is a difference between light and ink, and between different print materials.

Where possible, create or convert artwork to CMYK before exporting the PDF. This gives you more control over the conversion and helps prevent surprises. Some modern digital workflows can accept RGB files and manage the conversion effectively, especially for photographic work, but CMYK remains a sensible choice for brand-critical print.

If a precise corporate colour is essential, provide the correct Pantone reference or an approved colour specification. Be realistic about the substrate too. The same CMYK values can appear different on uncoated paper, glossy stock, self-adhesive vinyl and textured fine-art media.

Avoid sending editable working files unless requested

Canva, Microsoft Word, PowerPoint, Photoshop, Illustrator and InDesign files can all be used to create artwork, but their native formats are working files rather than universal print files. They may rely on linked images, installed fonts or software settings that do not travel with the file.

That does not make them useless. An editable file can be helpful when artwork support or changes are needed. However, send a PDF alongside it wherever possible. The PDF shows exactly how you expect the finished design to look, while the original file provides a useful fallback if an adjustment is agreed.

Word and PowerPoint deserve special care. They can produce acceptable simple documents, but they are not built around commercial print controls. Export to PDF, check the page size, and inspect the PDF at 100% before sending it. Look closely at logos, fine lines, photo edges and any text near the trim.

A quick pre-flight check before you send artwork

Before placing an order, open the final file rather than relying on the design screen. Check that it is the correct finished size, has the required bleed, contains no spelling errors and uses high-resolution images. Make sure black text is set to solid black rather than a mix of CMYK colours, as rich black text can look soft or show slight registration issues on smaller type.

For multi-page documents, confirm that pages are in reading order and supplied as single pages unless a specific spread layout has been requested. For double-sided work, check the reverse orientation. It is a small check that prevents a costly mistake.
